VAT invoice checklist
A good invoice makes it easier to get paid and gives both parties a usable record. A tax invoice has specific requirements, and the detail required can depend on the total value of the supply. This is a practical check—not a substitute for the VAT Act or professional advice.
Details to include
- Words such as “Tax Invoice”, “VAT Invoice” or “Invoice”.
- Supplier name, address and VAT registration number.
- Your customer’s name and address; include their VAT number where they are a vendor.
- A unique serial number and the date issued.
- A clear description and quantity or volume of the goods or services.
- The value before VAT, VAT charged and total consideration—or a clear statement that VAT is included and the rate used.
Invoice value matters
SARS states that a full tax invoice is required where the consideration exceeds R5,000. An abridged tax invoice may be used at R5,000 or below; for amounts of R50 or less, a tax invoice is not required, though supporting documentation may still be needed. Keep records and check the latest SARS guidance for your situation.
Make the totals easy to check
Show a subtotal, then discount (if any), VAT and the final amount due. If you quote an inclusive price, state that clearly. Use the VATTally calculator to verify the arithmetic before sending.
